Suppliers & purchasing
The purchasing side of Inventory records who you buy equipment from, the invoices they issue and the payments you make against them. It spans the Suppliers, Invoices and Payments pages in the sidebar.
Suppliers
Inventory > Suppliers ("Manage equipment suppliers") lists suppliers by Name, Contact, Email, Phone and Created. Click Add Supplier to record a Name (required), Contact Name, Email, Phone, Address and Notes. Opening a supplier shows stat cards for Total Invoiced, Total Paid, Balance Due, Invoices and Assets, and five tabs: Overview, Assets, Invoices, Payments and Ledger.
Purchase invoices
On a supplier's Invoices tab, Add Invoice records an Invoice Number, Invoice Date, Due Date, total and notes. You can attach the invoice image or PDF, and add Line Items (item name, category, quantity and unit price). Each line has an Asset Details button so you can enter per-unit serials and MACs. An invoice can carry the statuses Unpaid, Partial or Paid.
Invoices create assets
Saving a new invoice automatically turns its line items into assets. Lines where you filled in per-unit details become individual assets (one per unit, carrying its serial and MAC); the rest become stock assets with a quantity. Deleting an invoice also removes the assets it created.
Payments
On the Payments tab, Record Payment captures an Amount, Payment Date, Payment Method (Bank Transfer, Cash, Cheque, Credit Card, Online or Other), an optional link to an invoice, a reference, notes and a receipt upload. The Ledger tab and the account-wide Inventory > Ledger page then show invoices as debits and payments as credits, with a running balance — see Stock, ledger & assignments.
