Invoices

Invoices bill your subscribers for their services. In the CRM they live under Finance > Invoices, where you generate them, review and send them, and mark them paid. Each invoice draws its line items from the customer's plans and any one-time fees.

The invoices list

The Invoices page shows summary widgets — Total Invoiced, Paid, Overdue and Average Invoice — above a table of every invoice with its number, customer, amount, Status, billing period and due date. An invoice's status is Pending, Paid, Overdue or Partially Paid. Filter by invoice number, customer, status, month, year or Batch. When automatic generation is enabled, a banner shows when the next run is due.

Generating an invoice

Press Generate Invoice to open the builder. Pick the customer (the modal handles postpaid and prepaid billing differently), choose the invoice Month, Period Start/End, generation date and Due Date, and optionally enable Pro-rata or Include previous balance. Line items are pulled from the customer's services and are fully editable — you can adjust descriptions, quantities and prices, apply up to three tax rates per line, add custom items, and add one-time fees. If an invoice already exists for the chosen month the builder warns you before you create a duplicate.

Note: Newly generated invoices start as Pending. Invoices belong to batches, so a run of automatic invoices shares a batch number you can filter by later.

Reviewing and sending

Each row carries action buttons: Preview the invoice, Edit it, Regenerate it (to rebuild the line items), download the PDF, or send it to the customer by email or WhatsApp. Email sending appears only when the owning company has its email/SMTP configured.

Recording payment

To settle an invoice, use its mark-paid action to open the Record Payment dialog — enter the amount, payment type (Cash, Bank Transfer, Credit Card, Online, Cheque or Other), date, an optional reference and who received it. A payment recorded this way is approved and moves the invoice to Paid. For payments recorded independently of an invoice, see Payments.
